AI Tool to Write Instagram Captions for Small Business
(6 Caption Types)
If every caption you write is "New arrival! Check it out", the problem is not your writing. It is that you are using one caption type for every post. There are really six, and each does a different job. Pick the type first, then let AI draft it.
The six caption types
| Type | Job | When to use |
|---|---|---|
| Product | Show one item and why it is good | New or best-selling item |
| Behind the scenes | Show how it is made | Builds trust |
| Customer story | Show a real result | Only with permission |
| Tip | Teach something small | Gets saved and shared |
| Offer | Give a reason to act now | Sales, new batches |
| Question | Start a conversation | Gets comments |
A healthy week mixes three or four of these. Posting only offers makes people stop reading.
One prompt for all six
Write 3 Instagram caption options for a [business type] in [city].
Caption type: [product / behind the scenes / customer story / tip / offer / question].
What the photo shows: [describe it].
One real detail to include: [price, material, name, place, number].
Length: 40-60 words. Voice: [friendly / calm / funny / direct].
First line must make someone stop scrolling. No more than 3 emojis.
End with one simple action. Do not use "game changer" or "link in bio" unless I say so.
Give 5 hashtags that match the topic and place, not general ones.
Example of the same photo, two types
Photo: a hand-block-printed cotton scarf.
Product: "Hand-printed in Jaipur, cotton, 180 cm long. Soft after the first wash. Rs 650."
Behind the scenes: "One block, 14 presses, 2 days to dry. This is how each scarf gets its pattern."
Same photo, different reason to read. Notice both use facts only you know.
The other four types, with example captions
These are made-up examples for a fictional home candle maker. Swap in your own facts.
- Customer story: "Meera ordered 12 candles for her sister's housewarming. She told us the lemongrass one was the first thing guests noticed. (Shared with her permission.)"
- Tip: "Trim the wick to 5 mm before every burn. It stops black smoke and the candle lasts longer."
- Offer: "Our Diwali box of 4 candles is open for orders until 20 October. We pour only 30 boxes. DM 'BOX' to book yours."
- Question: "Lemongrass or sandalwood on your desk? Tell us why."
Each one has a clear job and one real detail. None of them says "amazing".
Which type to pick
| Your situation | Pick this type |
|---|---|
| New to Instagram, few followers | Tip and behind the scenes |
| Stock is ready and you want orders | Product and offer |
| Posts get views but no comments | Question |
| People ask "is it good?" in DMs | Customer story |
| You have no time this week | Product, with one real detail |
Write a week in one sitting
- Take or pick 5 photos.
- Tell the AI what each photo shows, one line each.
- Ask for one caption per photo, each a different type.
- Edit each one for 2 minutes.
- Save them in your phone notes and schedule or post daily.
I have 5 photos for my [business]. Here is each one: 1) [..] 2) [..] 3) [..] 4) [..] 5) [..].
Write one caption for each, using a different caption type every time
(product, behind the scenes, tip, offer, question). 40-60 words each.
A second prompt: turn one caption into five
When one caption works, reuse the idea. Do not copy it.
Here is a caption that did well on my page: [paste].
Write 4 new captions on the same topic, each a different type
(tip, behind the scenes, question, offer). Keep the same voice.
Do not repeat any sentence. Use only facts from the original caption. Mark gaps as [ADD].
If the AI gives you this, do this
| Problem | Fix |
|---|---|
| Every caption starts with an emoji or "Introducing" | Say: "Start with a fact or a question instead." |
| Too many hashtags or unrelated ones | Ask for 5 only, tied to the product and your city |
| It sounds like an advert | Ask: "Rewrite as if I am telling a friend about this." |
| It invents a discount, date or review | Delete it. Re-prompt with only the facts you have |
| All three options look the same | Ask for three different first lines, one a question |
When NOT to use AI for this:
• Customer stories: write them yourself, from what the customer really said, and ask permission first.
• Sad or serious events: such as a delay, a mistake or a death in the community. Use your own words.
• Replies to comments: People can tell when a reply is generated.
Before you post: a quick check
- Is there one fact only you could know?
- Does the first line work if it is the only line people see?
- Is the price, date or offer correct?
- Is there one action at the end, not three?
Common questions
Keep your voice
After a few weeks, paste three of your best old captions and say: "Write new captions in this same voice." This is the fastest way to stop sounding like everyone else's AI.

Real-world example: On my own page, the "Tip" caption type consistently gets 3x more saves than product posts. For example, a simple 40-word caption explaining "how to clean brass hardware" became my most saved post of the month, driving more profile visits than any sales pitch.
