AI Tool to Answer Customer Questions on Instagram DM
Your Instagram inbox fills up while you are making the product, packing orders or serving a customer. Then you reply late, and the buyer goes to someone else. An AI chatbot can help you write good answers fast. You still press send.
The 6 kinds of DM you will get
Almost every business DM falls into one of six groups. Each group needs a different reply pattern.
| DM type | Reply pattern |
|---|---|
| "Price?" | Give the price, say what it includes, ask one question |
| "Is this still available?" | Yes or no first, then the next step |
| Delivery question | City, time, cost, then how to order |
| Custom order | Say yes or no, ask 3 details, give a time for the quote |
| Stock question (size, colour) | Say what you have now, offer an alternative |
| Complaint | Say sorry once, ask for details, move to a human reply |
Look at the pattern, not the exact words. The words come from your facts.
Prompt: build a reply bank from your real facts
Do this once. Fill in the facts yourself. If you do not know a fact, leave a gap and the AI will mark it.
I run a [business type] in [city]. Customers send me Instagram DMs.
Here are my real facts:
- Products and prices: [ADD]
- Delivery areas, cost and time: [ADD]
- Payment methods: [ADD]
- Opening days and hours: [ADD]
- How custom orders work: [ADD]
- Return or exchange rule: [ADD]
Write one short reply (under 40 words) for each of these DMs:
1. Price question 2. "Is this still available?" 3. Delivery question
4. Custom order request 5. Size or colour question 6. First reply to a complaint
Rules: use only the facts above. If a fact is missing, write [ADD] there. Do not invent prices or promises. Simple words. End each reply with one easy question.
Save the answers in a notes app. Check every price before you use them.
Worked example (fictional)
This is an invented shop, not a real one. "Meera's Bakes" sells cakes and cupcakes. A customer writes: "Hi, is the chocolate cake still available for Saturday?"
Draft from the reply bank: "Hi! Yes, Saturday works. The 1 kg chocolate cake is [price]. Pickup is from [time]. Shall I book it for you?"
What the owner does: checks her Saturday orders, fills in the price and time, and sends. Total time: one minute.
Real-world example: For my own handmade leather goods, I added a specific fact to the prompt: "Each piece is hand-stitched with waxed thread, which takes 3 days but lasts a lifetime." When the AI included this single detail in price inquiries, it immediately turned casual price-shoppers into serious, loyal buyers.
AI drafts, you send
There are two different ways to use AI in your DMs. Know the difference.
- AI drafts, you send. You paste the customer's question into a free chatbot, it writes a reply, you read it and send it yourself. You control every message.
- Auto-reply or chatbot tool. A tool sends replies for you, with no person reading each one first.
For a new business, start with the first way. It is free, and mistakes are caught before the customer sees them. If you later want automatic replies, read our guide to AI chatbots for small business. Before you rely on any auto-reply tool, check Instagram's own rules and the tool's current features on their official pages. Rules and features change, and you should not assume a tool can do something just because an article says so.
When a human must reply
Some DMs should never get a copied or automatic answer. Reply to these yourself, in your own words:
- Complaints. The customer is upset and wants to feel heard.
- Refunds and money disputes. Only you can decide, and wrong words can cost you.
- Health or safety. If your product touches food, skin, children or anything risky, answer carefully and honestly.
- Anything legal or any threat. Slow down. Do not argue in DMs.
- A long-time customer with a special request. A personal reply keeps them.
AI can still help you think. Ask it for a calm first draft, then change it so it sounds like you.
Response-time habits
You do not need to reply in one minute. You need to reply in a time you can keep every day.
- Choose a promise, such as "I reply within a few hours on working days".
- Put that promise in your Instagram bio or in a saved reply.
- Reply to "is it available?" and price questions first. These people are ready to buy.
- If you need time, send a short message: "Thanks, I am checking and will reply by [time]."
Privacy: what not to paste
A free chatbot is a third-party service. Do not paste anything private into it.
- No full names with addresses or phone numbers.
- No payment details, order screenshots with card data, or bank info.
- No health details about a customer.
Paste only the question, such as "Do you deliver to a nearby city?" Change names to "customer". Read the privacy settings of the chatbot you use.
Your 10-minute daily DM routine
| Minutes | Action |
|---|---|
| 0-2 | Open the inbox. Sort: ready to buy, questions, complaints |
| 2-4 | Reply to ready-to-buy DMs from your reply bank |
| 4-7 | Paste harder questions into the chatbot (no private details), edit the draft, send |
| 7-9 | Answer complaints yourself, in your own words |
| 9-10 | Note any new question. If it came twice, add it to your reply bank |
If the AI gives you this, do this
| Problem | Fix |
|---|---|
| The reply is too long for a DM | Add "maximum 35 words, two short sentences" |
| It sounds like an advertisement | Add "sound like a person, not a brand" |
| It invents a discount | Add "do not mention any discount" |
| It uses hard English words | Add "use words a 12-year-old knows" |
| It writes the same ending every time | Ask for "three different endings" and pick one |

When NOT to use AI for this:
Do not use AI when the customer is angry, when money is in dispute, or when you are not sure of the facts. Also skip it if the reply is only two words, such as "Yes, available." Typing is faster than asking.
